The Expo will be advertised through radio, posters, newspaper, direct mail, word of mouth and at many retail locations throughout the northern Illinois and southern Wisconsin area.

Businesses and organizations involved in the great outdoors are invited to participate through exhibitor opportunities, giving them increased marketing exposure to their target audience.

You can purchase up to 3 booths using the below form. Specific booth numbers are available on a first come first server basis. If your requested booth number is no longer available we will contact you with an alternative booth number option. Upon submission of your application, you will be required to provide a credit card for online payment of your booth space.

Exhibitor setup is 5-8 pm on Friday night and the building will be open to exhibitors at 7 am on Saturday and at 8 am on Sunday. Teardown must be completed by 7 pm on Sunday night. Under no circumstances will an exhibitor be allowed to leave early.

Terms and Conditions
I have read and accept the following terms and conditions Exhibitor Terms and Conditions Binding Agreement: The Application to which these Terms and Conditions are affixed shall, when signed and submitted, be deemed to be an offer by Applicant (Exhibitor) and, upon receipt and acceptance of said Application and registration fee by the Rotary Club of Woodstock/Morning, Inc. (Sponsor), the Application together with these Terms and Conditions shall be deemed to be a legally binding Agreement between Exhibitor and Sponsor. Booth Display/Staffing: No displays, partitions, equipment or any other items may exceed the space leased by Exhibitor. Aisles must be kept clear. Exhibitor shall be responsible to maintain the booth display area in a condition free of risk, hazard or peril to the person or property of other exhibitors or Great Outdoor Expo (GOE) attendees. A maximum of 2 exhibit staff are allowed in the booth space at one time due to space constraints. More staff may be allowed for larger booth sizes. If any activity involves minors, ample supervision (at least 1 adult for every 15 minors) shall be in attendance the entire time of the activity. Terms of Payment: Full payment is due at time of application submission. Lack of payment constitutes a cancellation of this Agreement and Sponsor reserves the right to resell the booth space. Subletting, Sharing of Booth Space: Subletting or sharing of booth space is permitted only with prior permission of Sponsor. Attendance Disclaimer: The projected number of attendees is not guaranteed and should not be relied upon by Exhibitor as actual attendance could greatly exceed or fall short of that projected. Failure to Comply: Failure to comply with the rules, terms and conditions of this Agreement may subject Exhibitor to forfeiture of payment and revocation of the right to exhibit. Theft and Damage: Sponsor is not responsible for materials or items left in booths. Exhibitor is responsible for any damage to or loss of equipment, partitions or booth materials issued to or made available to them while in their custody and will reimburse Sponsor and/or McHenry County College for same. Prohibited Activities: No smoking or consumption of intoxicating beverages/drugs will be allowed anywhere on the premises of the GOE. Conduct of all persons shall be in conformance with all state, local and federal laws. The GOE is intended as a family event and, accordingly, Sponsor reserves the right to prohibit any otherwise legal conduct or behavior which Sponsor finds to be offensive or inappropriate for the event. Exhibitor, its employees and contractors shall at all times adhere to all written and oral safety instructions and recommendations of Sponsor, McHenry County College and/or their representatives. Insurance: All exhibitors, their contractors and suppliers working at the GOE are required to carry liability, Workersâ€™ Compensation and property insurance in such amounts as Sponsor deems acceptable and shall be required to submit for Sponsorâ€™s prior approval a certificate of insurance no later than 30 days prior to the event. Amendment to Rules and Regulations: Sponsor reserves the right to reasonably interpret, amend and enforce these rules and regulations as it deems proper to assure the success of the GOE. Sponsor further reserves the right at any time (whether prior to or during the event) to prohibit, curtail or otherwise condition any exhibition activity which Sponsor reasonably determines to be potentially hazardous. In such event, Exhibitor shall not be entitled to any refund unless full disclosure of such contemplated activity was made to Sponsor in writing at least 30 days prior to the event. Liability and Indemnification: Exhibitor agrees that Sponsor, Rotary International, Rotary District 6440 and McHenry County College or their respective officers, directors, employees and or agents (hereinafter â€œIndemnitiesâ€�) are not responsible for loss or damage to any property of Exhibitor in transit, to and from, and within the confines of the GOE. Exhibitor agrees that Indemnities are not responsible for any damages or charges imposed for violation of any law or ordinance, whether due to Exhibitor or agent of Exhibitor. Exhibitor shall indemnify, defend and hold harmless Indemnities against and from any and all losses, costs and damages, liability or expenses (including attorneyâ€™s fees) arising from or by reason of accident, bodily injury, property damage or other claims to any person, including Exhibitor, its employees, agents or invitees, arising out of or relating to Exhibitorâ€™s occupancy or use of the GOE premises. Cancellation, Termination or Relocation/ Limit of Liability: Exhibitors must cancel no later than 30 days prior to the event to receive a refund. In the event Sponsor shall for any reason cancel, terminate or relocate the GOE or any part thereof, The Exhibitor waives any and all claims against Sponsor for damages, expenses or loss of profits. Exhibitor agrees to accept, in complete settlement and discharge of all claims against Sponsor, Exhibitorâ€™s pro-rata share of the total amount paid by all exhibitors less all costs and expenses incurred by Sponsor in connection with the GOE. Under no circumstances shall Sponsorâ€™s liability for any breach of this Agreement exceed refund of the registration fee and such other fees paid by Exhibitor to Sponsor.
